Usage & Anti-Spam Policy

Filesie provides B2B outbound growth and cold email outreach services. We believe outbound should create relevant business conversations—not unwanted or deceptive communications. This policy establishes standards for prospecting, campaign setup, data use, messaging, sending infrastructure, reply handling and suppression.

1. Scope

This policy applies to Filesie, its employees, contractors, technology providers and clients to the extent they participate in campaigns operated by Filesie. It covers B2B email outreach and related prospecting activity directed to the United States, United Kingdom, Australia, Canada, New Zealand, United Arab Emirates and India.

2. Core Principles
  • Relevance: outreach should be directed to a defined ICP, business role or legitimate commercial context.
  • Transparency: messages must accurately identify the sender and must not use deceptive sender information or subject lines.
  • Respect: recipients must have a clear and practical way to stop future marketing communications.
  • Data minimisation: use only information reasonably necessary for legitimate outreach and campaign management.
  • Accuracy: prospect and company information should be checked and maintained with reasonable quality controls.
  • Accountability: clients and service providers remain responsible for applicable legal obligations; outsourcing delivery does not eliminate compliance duties.
  • Security: prospect data, campaign credentials and suppression information must be protected from unauthorised access.
3. Prohibited Practices
  • Address-harvesting software or techniques intended to collect addresses for unsolicited commercial messaging.
  • Using data where the source or lawful use cannot reasonably be established.
  • Sending to recipients who have opted out where the opt-out applies to the campaign or sender.
  • Deceptive subject lines, misleading headers, impersonation, fake replies, fabricated referrals or false urgency.
  • Malicious, fraudulent, discriminatory, abusive or unlawful content.
  • Continuing a sequence after a clear request to stop.
4. Suppression & Opt-Out Management
Filesie maintains suppression controls designed to prevent future outreach to recipients who have opted out or otherwise must not be contacted. Opt-out requests may be received by link, reply, support channel or another reasonable method and should be processed promptly across relevant campaign systems.
5. Sending Standards
  • Use accurate sender identity and legitimate business contact information.
  • Use subject lines that accurately reflect the message.
  • Use properly configured sending domains and mailboxes with appropriate authentication and deliverability controls.
  • Monitor bounce, complaint, reply and opt-out signals and pause campaigns where indicators suggest poor data quality or inappropriate targeting.
  • Do not deliberately bypass spam filters or platform safeguards.
6. Client Responsibilities

Where Filesie acts on behalf of a client, the client remains responsible for the legality of its offer, claims, target market, product/service and campaign instructions. Filesie may refuse, pause or modify a campaign where it reasonably believes the campaign presents material legal, ethical, security or deliverability risk.

7. Geographic Compliance

Campaigns are configured according to the applicable jurisdiction. The United States, United Kingdom, Canada, Australia, New Zealand, UAE and India do not have identical marketing rules. Approval for one market does not automatically make a campaign suitable for another.

8. Reporting & Escalation

Material spam complaints, suspected unlawful processing, significant data-quality failures, security incidents or repeated opt-outs should be escalated internally. Filesie may suspend sending while the issue is investigated.
